  • A written list of everything that has to move: every mailbox, shared folder and Teams space, how big each one is, and where it lands.
  • A dated schedule for the move, showing what switches over on which day and in what order.
  • A map of what quietly depends on the old system, including how your mail actually flows and the DNS records your email relies on, so the surprises turn up now instead of during the move.
  • Written rules for calling it off: the specific signs that mean stop and put things back the way they were, agreed before the move starts.
  • A tally sheet for checking nothing went missing: what was in the old system, what arrived in the new one, and how you confirm the two match.

Delivery, access, and scope boundaries

Typical delivery

15 business days, elapsed. The window begins after the scope is confirmed, the kickoff is complete, required access works, and requested exports and documentation have been provided. Client, licensing, or third-party delays pause the timeline.

Access needed

Read-only inventories from the source and destination, DNS and mail-flow information, workload volumes, existing diagrams, migration-tool reports, and vendor documentation. Access is time-limited, protected with MFA, and read-only wherever the platform allows. Credentials should never be submitted through the website.

Not included

No mailbox or file movement, DNS changes, cutover execution, migration licensing, data cleanup, after-hours cutover, or remediation of source-system problems. The move itself is quoted from this plan and delivered as a separate fixed-fee project.

Every assessment includes one kickoff and one findings review; extra workshops or revision rounds are a change order. Unless the signed statement of work says otherwise, no assessment includes production changes, remediation, implementation, emergency incident response, 24/7 availability, software or licensing costs, legal attestation, or third-party vendor fees.
